How to prepare a useful property maintenance enquiry

The information that helps a contractor assess a multi-trade repair or refurbishment request.

A clear enquiry saves time for both the customer and the contractor. Begin with the full address and postcode, the type of property and a concise list of the work required. Separate urgent safety concerns from improvements that can be scheduled.

Show the problem clearly

Photographs should include a wider view of the area and closer views of the defect. Add a short video when movement, water ingress or an access route is hard to describe. Dimensions, the age of a known installation and a record of previous repairs can also help, when available.

Explain access and timing

Tell the contractor whether the property is occupied, who can provide access, whether parking or building approval is needed, and your preferred timescale. High-level work may require an inspection before an access method can be selected.

Decide whether work should be grouped

If several items affect one property, send them together. A combined scope can clarify sequencing and access even when some items need a different specialist. Say which work is essential now and which is being considered for a later phase.

Understand the next step

Some defined work can be quoted from good information. Diagnosis, concealed construction, measurements or roof access may require a visit or specialist survey. A written proposal should distinguish included work, assumptions, exclusions and any further approvals.
